TERMS OF SERVICE

Last updated: 26 October 2026

PART A: CORE TERMS (ALL APPS)

A1. About these Terms

These Terms are an agreement between you and Mentology (ABN 24 378 442 355), of Noosa Heads, Queensland, Australia.  They apply to AI-Mentor, AI-Companion, Study-Mentor, Mentology PA and the Mentor Learning Program (each an “app”).

Your agreement is made up of Part A (these core terms), the schedule in Part B for the app you use and our Privacy Policy at mentology.com.au/privacy-policy/.  If an app schedule differs from Part A, the schedule applies for that app.

If an organisation, university or college gives you access, the organisation agrees to these Terms for its account and you agree to them as a user.

A2. Who can use the apps

  • You must be 18 or older.
  • If you register for an organisation, you confirm you are authorised to act for it.
  • Keep your access key private.  Do not share it with anyone else.

A3. What the apps are and what they are not

Each app is an AI support tool.  It uses the Mentology Framework (Mentology’s own method and knowledge material) and, where relevant, the files you or your organisation connect.

The apps are not a medical, psychological, psychiatric, crisis, legal, accounting, tax, financial advice or academic grading service.  They do not diagnose, treat or give regulated professional advice.

If you or someone else is in danger, call 000.  For crisis support, call Lifeline on 13 11 14 or Beyond Blue on 1300 22 4636.

A4. AI has limits

The apps use automated computer programs and large language models.  They can be wrong, incomplete or out of date, even when grounded in the Mentology Framework.  You are responsible for your own decisions and for checking any output before you rely on it, send it or act on it.

A5. Your data and privacy

Our Privacy Policy explains in full how we handle personal information.  In short:

  • Your conversations are processed by AI model providers to generate replies.  Our provider account is set so that providers may not train on your data and OpenAI and Google requests use zero data retention routes.
  • Your files stay in your own (or your organisation’s) Google Drive.  Mentology stores only file names, Drive IDs and short text extracts.
  • We never sell your information or use what you share in the apps for advertising.
  • You can delete your account and Mentology-held data at any time.  Routine hosting backups may hold a copy for up to about six weeks.

A6. Connected services

Connecting Google or other services is optional and you can disconnect at any time.  When you disconnect, we ask Google to revoke our access and delete our stored sign-in tokens.  Features that need that connection will then stop working.  That is by design, not a fault.

A7. Ownership

  • You own what you put in: your messages, reflections, insights and files.  Your organisation owns the files and material it connects.
  • Mentology owns the Mentology Framework, its method material, the apps, software and prompt design.
  • We give you a personal, non-exclusive, non-transferable licence to use the app you have access to, for as long as your access lasts.

A8. Acceptable use

You agree not to:

  • use an app to create illegal, harmful, abusive, defamatory or fraudulent material;
  • try to reverse engineer, copy or bypass the apps, including through prompt injection or “jailbreak” instructions;
  • use automated tools to scrape or harvest outputs, including to train other AI models; or
  • share your access key or let others use your account.

A9. Suspension and ending your access

You can stop using an app and close your account at any time.

We may suspend or end access if there is a serious or repeated breach of these Terms, a security risk or misuse of the app.  Where reasonable, we will tell you why and give you a chance to fix the problem first.

A10. Australian Consumer Law

Our services come with guarantees that cannot be excluded under the Australian Consumer Law.  Nothing in these Terms excludes, restricts or changes those rights.

To the extent the law allows and apart from those guarantees, Mentology is not liable for indirect or consequential loss, or for loss caused by relying on AI output without checking it.  Where the law allows us to limit our liability for a failure to meet a guarantee, our liability is limited to supplying the service again or paying the cost of having it supplied again.

A11. Changes

We may update the apps and these Terms.  For material changes, we will give you at least 14 days’ notice by email or in the app.  If you do not agree, you can stop using the app before the change takes effect.

A12. Resolving concerns: the Council Approach

Mentology values direct, honest conversation.  If something goes wrong, please contact us first at support@mentology.com.au.  We will sit down with you in good faith to understand the concern and find a fair outcome.  If that does not resolve it, either of us may suggest an independent mediator.

This approach does not limit your right to contact a consumer protection agency, the Office of the Australian Information Commissioner, a tribunal or a court at any time.

A13. Governing law

These Terms are governed by the laws of Queensland, Australia.

PART B: APP SCHEDULES

Schedule 1: AI-Mentor

AI-Mentor supports professional and personal development using the Mentology Framework and any business or goal material you connect.

RED Email safety protocol

  • Before replying, AI-Mentor checks messages for signs of self-harm, medical emergency or acute crisis.
  • If one is found, the session pauses and AI-Mentor shows public crisis lines (000, Lifeline 13 11 14, Beyond Blue 1300 22 4636).
  • If you added an emergency contact during setup, AI-Mentor emails them to ask them to check on you.  If your organisation has set up its own protocol, its nominated person may be alerted instead.
  • Crisis records are kept for 30 days, or until your account is closed if sooner, then deleted.
  • This is a safety net, not a monitoring or emergency service.  It may not detect every risk.

Fees

Fees are shown at checkout.  You can cancel at any time.

Schedule 2: AI-Companion

AI-Companion offers relational support and reflection using the Mentology Framework.

Red Phone safety protocol

  • Before replying, AI-Companion checks messages for signs of self-harm, medical emergency or acute crisis.
  • If one is found, the conversation moves to a Neutral Hold and AI-Companion shows public crisis lines (000, Lifeline 13 11 14, Beyond Blue 1300 22 4636).
  • If you added an emergency contact during setup, AI-Companion sends them a text message and/or email asking them to check on you.  The alert includes your preferred name only.  It does not include what you said or your location.
  • For organisation accounts, the organisation decides whether to set up its own emergency protocol and who is alerted.
  • Crisis records are kept for 30 days, or until your account is closed if sooner, then deleted.
  • This is a safety net, not a monitoring or emergency service.  It may not detect every risk.

Fees

Fees are shown at checkout.  You can cancel at any time.

Schedule 3: Study-Mentor

Study-Mentor helps university and college students think through their course material using Socratic questioning.  Course files belong to the institution and stay in its Google Drive.

Academic integrity

  • Study-Mentor will not write essays, complete assignments, summarise whole texts for submission or give direct exam answers.
  • It asks questions, challenges assumptions and checks your reasoning.  Your work and results remain your own responsibility.
  • It does not issue course credit, grades or qualifications.

Institution safety protocol

Your institution decides whether to use Study-Mentor’s RED Email protocol and whether to add emergency contacts.  If it does and a conversation shows signs of crisis, Study-Mentor may email the person your institution has nominated.  Alerts are sent by email only.  Public crisis lines are always shown.

Access

Access is provided through your institution.  If your institution’s licence ends, your access ends too.

Schedule 4: Mentology PA

Mentology PA is an AI executive assistant.  It helps with email, calendar, travel options, income and expense records, phone answering and document drafting.

What the PA will never do on its own

  • Send an email.  It prepares Gmail drafts only.  You send them.
  • Add a calendar event or an Income & Expense row without your confirmation.
  • Book or pay for travel or spend money of any kind.
  • Permanently delete a message or record without your confirmation.

Document drafting

When you supply your own template and source material, the PA drafts into it as an intern would.  Every draft carries the line “Drafted by PA, requires professional review before use.”  You must review, edit and take ownership of any draft before using it.  Mentology does not supply professional templates and does not warrant the professional adequacy of drafts.

Phone answering

Phone answering uses a Twilio account and number that you own and pay for directly.  Calls and texts are logged as text, never as audio.  If you connect Google Contacts, the PA matches an incoming caller’s number to your contacts so it can greet existing clients by name and show who called.

Fees, trial and cancellation

  • Standard Tier: $29 AUD per month.  Executive Tier: $290 AUD per year.  Payments are processed by Stripe.
  • New subscriptions include a 14-day free trial.  Your card is not charged until the trial ends.
  • Cancel at any time at pa.mentology.com.au/billing.  Cancellation takes effect immediately and you will not be charged again.
  • Twilio number and usage costs are not included.
  • The PA is not an accounting, legal, tax or financial advice service.

Schedule 5: Mentor Learning Program

The Mentor Learning Program is a structured course in the Mentology Framework, supported by an AI Study Partner.

  • The Study Partner asks Socratic questions and will not write your reflections or assessments for you.
  • Your journal reflections and study conversations are private to you.  They are processed by AI model providers configured not to store or train on them.
  • Certificates are issued once the required modules and assessment are complete.
  • Completing the program does not guarantee employment, contracts or any particular career outcome.
  • Course fees are shown at registration.  Organisations may pay by invoice (EFT).  Temporary access is provided while an invoice is being paid.

Declaration (shown at sign-up for every app)

“By ticking this box, I confirm that I am 18 or older (or authorised to act for my organisation) and that I have read and accept the Mentology Terms of Service (including the schedule for this app) and the Privacy Policy.  I understand that the app uses AI to respond, that AI can make mistakes and that I remain responsible for my own decisions.”
